Information we collect and how we use it

We collect personal data that is necessary for the services we provide and to respond to enquiries. This typically includes name, contact details (email, telephone, postal address), organisation details where relevant, and information about your project or enquiry. When volunteers sign up we may record emergency contact information and basic health or access needs to ensure safety during activities. For applicants and contractors we collect CVs, qualifications and right-to-work evidence when required. We may also process photographic records of events where lawful and consent has been obtained for publicity purposes. We use this information to: (1) respond to enquiries and provide quotations, (2) plan and deliver projects and events, including health and safety and insurance management, (3) administer contracts, invoices and payments, and (4) where consent is granted, send relevant communications about services, events and volunteering opportunities. We only use personal data on a lawful basis such as contract performance, legal compliance, legitimate interest or explicit consent. We minimise collection to what is necessary for the stated purpose and do not retain data longer than needed.

Your rights, retention and security

You have the right to access personal data we hold about you, request rectification of inaccurate information, ask for erasure where there is no lawful basis to retain it, and request restriction or portability in certain circumstances. If we rely on consent for processing, you may withdraw consent at any time without affecting processing that occurred prior to withdrawal. Requests should be made to privacy@evergreen-nature.co.uk and we will respond within statutory timeframes. We retain data for as long as necessary to fulfil the purpose for which it was collected, to meet contractual or statutory obligations, or to resolve disputes. Typical retention periods: enquiry records are kept for up to 3 years; contract and financial records are kept in line with UK tax and accounting rules (usually 6 years); volunteer safety and incident records may be retained for a longer period where necessary. We implement administrative, technical and physical safeguards designed to protect personal data from unauthorised access, accidental loss or disclosure, including secure storage systems, access controls and staff training. Where third-party processors are used, we maintain written agreements to ensure they meet appropriate security and confidentiality standards.
